AI subscription tracker template

An AI subscription tracker helps you see which tools are worth keeping before monthly renewals pile up. You can build it in a spreadsheet, project tool, or finance tracker.

Columns to include

• Tool name and category.
• Owner, users, and department.
• Monthly cost, annual cost, and renewal date.
• Plan limits such as seats, credits, messages, or storage.
• Usage notes: weekly, monthly, rare, or cancel candidate.
• Replacement or overlap with another tool.

Review cadence

Review the tracker once per month. Cancel unused tools before renewal, downgrade plans with too much unused capacity, and consolidate tools with similar features.

Decision rule

Keep a tool when it saves time every week, improves deliverable quality, or directly supports revenue. Cancel it when it is interesting but not part of an actual workflow.
