A small team can get real value from AI tools without letting software costs drift. The best budget is not based on how many exciting tools exist. It is based on who uses AI every week, which workflows matter, and which subscriptions replace manual work.
Start with active users
Do not buy seats for everyone on the team by default. Count the people who will use AI weekly for writing, support, research, design, reporting, or automation. Occasional users may not need a paid seat.
