Before every renewal
- Check how many people used the tool in the last 30 days.
- Compare paid seats with active users.
- Review usage limits, credits, messages, or automation tasks actually consumed.
- Look for feature overlap with other AI tools in the stack.
- Confirm whether a cheaper plan covers the same real workflow.
Questions for the owner
Ask the tool owner what work would slow down if the subscription disappeared tomorrow. If the answer is vague, the tool may not deserve renewal.
Annual plan warning
Annual discounts can be useful, but they lock in experiments before usage is proven. Keep monthly billing until the team has used the tool consistently for at least two or three billing cycles.
What to record
